Use your average workforce size during the period if available. If you only know your current employee count, you may use that as an approximation.

Direct cost categories

Include direct recruiting expenses such as advertising, screening, background checks, recruiting services, interview-related expenses, or other hiring costs your organization tracks.

Include orientation, initial training, training materials, required assessments, staff time, or other direct onboarding expenses included in your internal estimate.

Include costs your organization incurs while a position is vacant, such as overtime, temporary staffing, contractor support, shift coverage, or other direct coverage expenses.

Do not include estimated lost productivity unless your organization already measures that amount independently.
